Requests

The Data Governance Executive Council considers requests on a rolling bases. Some requests come to the DGEC directly, while others are referred by a data steward. Requests typically start with a form, available via ServiceNow, that is referred to as the W5H to gather information. The information requested in the W5H is outlined in the table below:

Who

Who is this request for? Who will be provided data as part of this request?
Why Why does this need to be done? What is the institutional benefit?
What What is being requested? Be as specific as possible in terms of naming data elements needed and if the data is required at a summary or detail level.
Where Where will the resulting data or analytics requested be made available? Detail if used within an application, available on a service behind CAS, posted publicly in website or publication, or other.
When When is this data anticipated to be needed? Detail the timeline you have for usage/deployment.
How How are you going to execute this plan? Be specific with the actions you plan to take with the data and for what purpose, including how the data will be secured and how long it will be required.

After receiving a W5H request, the DGEC will reach out to the requestor and relevant data steward for a preliminary meeting. In some cases, additional information gathering meetings will be scheduled. When enough information has been gathered to bring the request to the full group, it will go to the full Data Governance Executive Council for discussion, and a decision overview is typically written and communicated within a few days following that meeting.
